Trumans has created this Privacy Policy and Collection Statement in order to demonstrate our firm commitment to maintaining your privacy. It also describes generally the sort of personal information held, the reasons why we hold information, the manner in which the information is held and used, and in what circumstances this information is disclosed.
Trumans is bound by the Commonwealth Privacy Act 1988 and accordingly will adhere to the National Privacy Principles (NPPs) when collecting, using, disclosing, securing and providing access to personal information.
Trumans will update this policy from time to time. If it is changed, the changes will be posted on our website.
Please note that if at any time Trumans is required by law to release information about you or your organisation, Trumans must cooperate fully.
This Privacy Policy does not relate to acts or practices of Trumans that are directly related to records of current or former employees.
How we Collect Personal Information
Trumans collects personal information in a number of ways, including but not limited to:
- Directly from you, by phone, email, written correspondence or if you complete a Clients Needs Analysis;
- From family members eg. parents, spouse or de facto;
- From third parties such as our related entities (listed at the commencement of this policy statement), banks, or your representatives such as your solicitor, brokers and agents;
- From publicly available sources eg. your website;
- From the ATO, ASIC, and other government agencies.
If you choose not to provide us with certain information this may affect our ability to provide you with the services you require, or the level of service on which we pride ourselves.
How do we Use your Personal Information
Trumans collects the information to provide you with a specific service or offer. For example, we may use the information you provide us with to prepare financial accounts, complete your annual tax return, undertake an audit, or to advise you on financial strategies.
Trumans also uses the information to send you information (either by e-mail or post) that you request, or about which we have a professional obligation to inform you. If at any time you receive material that you do not want to receive any more, see Correcting and Updating Your Profile below.
We will not only use your personal information to provide you with a service, but may use it to administer your account, our business, our business relationships, satisfy regulatory requirements, manage our rights and obligations in relation to external payment systems, conduct market or customer satisfaction research, develop and identify services that may interest you and (unless you ask us not to) provide you with information about other services we offer.
Your Personal Information
Personal information held by Trumans is limited to information required to fulfil our statutory obligations to the ATO, ASIC and other relevant government organisations as well as information to assist us in completing tasks that you have engaged us to undertake in the course of our business relationship.
Other Members of the Trumans Group
Individual members within Trumans are permitted by the Privacy Act to disclose personal information to other members of the Group so as to enable the Group to have an integrated view of its clients and to provide the best customised solutions and services.
Who Does Trumans Disclose Personal Information to?
- Any time Trumans is required by law to release information about you or your organisation, Trumans must cooperate fully with that request.
- Trumans will not sell, rent or trade or otherwise supply to third parties any personal information obtained from you unless you consent.
- It is a policy of Trumans not to release client names and addresses or phone numbers to any organisation or individual for the purpose of direct marketing.
Sensitive Information Held by Trumans
- During the process of collecting information to enable us to provide various services to you, Trumans may become aware of personal information of a sensitive nature including:
- Racial or ethnic origin;
- Political membership or association;
- Religious associations;
- Membership of trade unions or a trade or professional association;
- Details of current and previous health.
Trumans undertakes to protect this information from unauthorised persons and will not disclose this information without specific consent from the individual concerned.
How will Trumans Keep Your Information Secure?
Trumans has security measures designed to protect the firm and clients against the loss, misuse and/or alteration of the information under its control. These security measures include but are not limited to:
- Firewalls to prevent the hacking of our database;
- Clauses in employee agreements requiring confidentiality and training on the importance of the Privacy Legislation;
- Tight security access both to and within Trumans premises;
- The use of passwords for access to database information;
- Secure Destruction Services and shredders for the disposal of written information.
Correcting and Updating Your Personal Profile
Trumans provides you with the following options for accessing and modifying information previously provided:
